Skip the Shop: Virtual DOT Annual Vehicle Inspections Are Here

As a motor carrier, every minute your trucks are off the road is a minute your company isn’t making money. Some downtime can’t be helped. Occasional repairs are inevitable, and driver rest breaks will always be required.

But the annual vehicle inspection? That doesn’t have to mean a full lost day per truck and trailer. Between pulling the truck off its route, driving to a shop, waiting for availability, and sitting through the inspection itself, the actual inspection fee is usually the smallest cost you’re paying. Factor in the lost revenue, the driver’s time, and the fuel, and a single inspection can run $1,000 or more. Multiply that across your fleet, and a routine compliance requirement becomes a significant line item.

The Federal Inspection Requirement

Under 49 CFR §396.17, every commercial motor vehicle must pass a comprehensive safety inspection at least once every 12 months. Under the FMCSA’s definition of a commercial motor vehicle, each unit in a combination must be inspected individually. That includes the tractor, semitrailer, and full trailer (including converter dolly if equipped). In our experience, one of the most common inspection-related compliance gaps that comes up in audits is when the truck’s inspection is current but the trailer’s is missing.

At a minimum, the inspection must cover every component listed in Appendix G to Subchapter B of the Federal Motor Carrier Safety Regulations (FMCSRs), including:

  • Brake systems
  • Coupling devices
  • Exhaust systems
  • Fuel systems
  • Lighting devices
  • Safe loading
  • Steering mechanisms
  • Suspension systems
  • Frames
  • Tires
  • Wheels and rims
  • Windshield and wipers

A qualified inspector must perform the inspection. This individual must have training or certification to inspect and maintain commercial motor vehicles, understand the standards in Part 393 and Appendix G, be able to identify defective components, and have proficiency with the methods, procedures, and tools involved, all per the qualification standards outlined in §396.19.

The motor carrier must retain a copy of the inspection report for 14 months from the report date and keep documentation of the most recent inspection on the vehicle. Operating without a valid inspection can result in citations, fines, and out-of-service orders.

While meeting these inspection requirements is non-negotiable, you have options when it comes to how the inspections are carried out. And when every truck, trailer, and dolly needs its own inspection, that “how” matters a lot.

How Virtual Inspections Work

Instead of making an appointment and bringing your vehicles to a shop, a virtual inspection lets you conduct the required inspection on any truck or trailer—anywhere, whether they are at your facility or parked at a truck stop. At the time of your appointment, a certified, qualified inspector will connect with the driver or fleet representative via live video call.

During the call, the inspector walks the driver through the complete Appendix G checklist item by item to verify that everything is in working order:

  • Do the brake lights and turn signals work?
  • What’s the tread depth?
  • What’s the condition of the coupling devices, steering, suspension, and frame?
  • Is there emergency equipment present?

The driver or an assistant may need to physically check certain items during the call, such as measuring the tire tread with a penny or activating the lights. The entire process should take about 30 minutes per vehicle.

After the inspection is complete, you’ll receive your inspection report and documentation, which remains valid for the next 12 months.
